User is temporarily absent (Belongs to)

While one user is ill or on a holiday, another can substitute for them in the Blue10 service and process their invoices. To do so, you can use the Belongs to setting, without having to change any auto- or suggestion routes. Simply go to the user who will substitute and select the absent user in the Belongs to field. Now, the substitute will be able to see all invoices from him or herself and the additional invoices of the absent user. This allows the substitute to act as his or her absent colleague, including all suggestion and autoroutes normally used.

Note: The role and rights of the subtitute will not change. For example: if the absent user has the role Approve Payment. whereas the substitute only has the role Check, the substitute cannot approve any invoices for payment.
Note: If you wish to use this setting, advanced user-management needs to be activated in your Blue10 environment. Go to Settings Users and check if you can click on Provide advanced rights for any of your users. If not, please contact our Customer Support on support@blue10.com to activate this setting for you.

A user with the right to change settings in the Blue10 service can decide which users can belong to others. Use the following steps:

  1. Go to Settings > Settings and open the user who will temporarily substitute for a colleague.
  2. In the Advanced sections, you can find Belongs to. Select the temporarily absent user here.
  3. Click on Save to activate the setting.

Belongs to a group or another user

If you’re part of a group or another user, you’ll see your own abbreviation and the one from the group/user you belong to in the invoice overview. This allows you to see your own invoices and the ones from your group/user you belong to in one list. You can adjust your filter by clicking on User.
