Blue10

Our release notes provide an overview of all our new features and all the bugs we’ve fixed in Blue10. All updates are categorized per month, which makes it easy to access the correct information.

Please note: we update our software on a ring-based deployment. This means we’ve categorized our users into several groups, and we’ll update our software step-by-step according to those groups. As a result, it may take up to three days before any updates mentioned in the release notes will be available in your Blue10 environment.

Contract Management – General

  • Tagging other users in contract comments field
    It is now possible to tag other users on a contract in the Comments field at the bottom of the Contract detail page. The user who is tagged will then immediately receive a notification by e-mail. This makes it easy to keep other users informed. Open the desired contract. In the Comments field at the bottom of the contract, tag another user by typing an ‘at sign’ (@). A list appears with all existing users who have access to the contract in question. Select the desired name from this list. Add a comment if desired and click Post.

  • First select a company via the filters in the Contract Overview and Contract Details page  
    Looking for a contract via the filters in the Contract Overview or on the Contract Details page? From now on, you must first select a Company before you can choose a SupplierThis is now also listed in the dropdown under Supplier. 

Invoice management – Business Central

  • New extension available for linking with Business Central
    A new extension update is available for users linking Blue10 with Business Central (On Premise and SaaS): version 7.2.1. This update fixes a number of error messages.If you are working with BC SaaS, install the app via the appsource. If you work with an On Premise connection, download the app via Blue10’s company management. As an administrator, go to Management > Companies > Choose company > navigate to Integration at the bottom right > Click Download. Then install the app in your Business Central package. Your Business Central solution centre/partner can help you with this.With the extension update 7.2.1, the following has been fixed:-Booking deferred charges might give an error message.
    -When booking an article, the ‘description’ line was overwritten by the description of the article.
    -Description error message now visible for internal validation errors in Blue10. Where previously you got the message ‘Uknown Error’, now see what the error message means, so it can be corrected better.
    -When correcting a coding error, sometimes the purchase invoice could not be booked again immediately.
    -When booking Fixed Assets, it is possible to deviate from the standard VAT code in Blue10, but eventually the VAT code of the fixed assets themselves was used, instead of the validated VAT code.
    -Default dimensions at vendor level were not applied if this dimension was not coded from Blue10. (For example: coding on Dimension 3 is off in Blue10. In BC there is a dimension code for supplier x. This dimension code was not used for Dimension 3.
    -It could happen that line amounts were multiplied by 1000, so the purchase invoice could not be booked successfully.

Resolved issues

  • Upload multiple documents simultaneously in the Blue10 app
    Several customers saw an error message when uploading multiple photos in the Blue10 app. In recent months, we have been working on several areas to improve the Blue10 app. This includes uploading multiple documents at the same time. There is now sufficient capacity in the Blue10 app to upload multiple photos simultaneously, so the error message no longer occurs. How many documents can be uploaded simultaneously depends on the type of phone you have.

Invoice Management – General

  • Showing documents 13 months or older via filter in Dashboard
    Users with the role Bookings see an overview of numbers of pending documents in the Dashboard. By default, the Dashboard no longer shows documents aged 13 months or older. If you want to show them anyway, you can use the Dashboard filter: click the filter icon and check the box ‘Show documents older than 13 months’. This option is not saved. In the Document overviews (via Purchase/Sales/Pakbon) all documents remain visible.

Invoice Management – General

  • Paperclip functionality removed from the Split screen
    When a document appeared in the Split screen after importing, it was possible to mark pages with the paperclip icon. However, this icon no longer had a function and was removed from the Split screen. Blue10 did not continue the pages, which were marked with a paperclip, as attachments but as consecutive pages of the document.
    Still want to add attachments to a document? You can (still) do that on the Document Detail page via the Attachments tab of a document. Read more about adding and viewing attachments in Blue10. 

Invoice management – FinMaster 

  • Add payment method when creating supplier for FinMaster
    Users with a FinMaster connection can now select the payment methods when creating a supplier in Blue10: Automatic Payment (on payment recommendation list) or Direct Debit. This is done via Validate > Create new supplier [+] > Payment settings. This setting is synchronised with the data in FinMaster.Previously, it was not possible to create a supplier with the payment method direct debit. This had to be changed manually in FinMaster, but can now be set via Blue10 itself. 

Contract Management

  • Buttons redesigned in the Contract Overview and New Contract window
    Users who open a contract in the Contract Overview or create a new contract now see revamped buttons at the top right of the screen. A pencil to edit the contract, a tick to confirm and a cross to cancel.
    Moreover, the top of each contract now shows whether the contract is active, about to expire, has expired or is in the archive.

Resolved issues

  • Error message when creating a booking template
    It was occurring that users received an error message when creating a booking template. This has been fixed, so the error message should no longer occur.

Invoice Management – General

  • Default view of Overview users and administrators
    Via Manage > Users, it is possible to view and manage users. Blue10 displays the ‘All users’ view by default, making active and inactive users and groups visible. From now on, Blue10 displays ‘Active users’ by default, making it clearer which users have access to the blue10 environment. This also applies when the ‘Administrators’ filter is used. From now on, Blue10 shows the active administrators by default.
  • Document overview: Purchase/Sales/Packing slip export to Excel now complete
    The Document Overview: Purchase/Sales/Packing slip shows, based on filters and user rights, documents in Blue10. It is possible to export a Document Overview (Purchase/Sales/Packing Slip) to Excel by selecting the desired columns via Manage columns and then clicking Export.Previously, the At user and Approved by columns were not exported to Excel. From now on, these columns are also included, so the exported data now fully match the columns in the Document Views.

Invoice management – Business Central

  • Blue10 settings from Business Central now also visible in Blue10 itself
    The Integration overview in Blue10 allows users with a Business Central connection to view a number of settings, such as current version numbers and connection settings. For users with administrator rights, the Integration overview now shows all settings that are also in Business Central under Blue10 Settings. By showing these settings also in Blue10, they can be quickly viewed without having to switch to Business Central. If it is desired to adjust the settings, this must be done via Business Central.
  • Adjustment in the operation of Use invoice registration
    With Use invoice registration, it is possible to book VAT directly in Business Central in addition to capturing header data. To activate invoice registration, users should fill in three fields in Business Central via Blue10 settings and set Invoice Registration to Yes in Blue10 via Settings > Companies > Open company > Additional settings > Use invoice registration. Previously, it was possible to set the Use invoice registration setting to Yes in Blue10 without filling in the corresponding fields in Business Central. Nothing would then happen. From now on, it is only possible to set the setting to Yes when the fields in Business Central are filled in.

Contract Management – General

  • Renewed interface and new/optimised functionalities for Contract Management
    From 1 October, Contract Management has a revamped interface and a number of new and optimised functionalities, such as an improved overall view, exporting contracts to Excel, a dark mode and more. With these changes, great strides have been made to make Contract Management faster and more stable. Read more here.

Invoice Management & Contract Management – General

  • The blue Microsoft login button no longer visible on the login screen
    As of now, logging in via the blue Microsoft login button is no longer possible because the authentication method has been updated. The button is now no longer visible in the Blue10 login screen. Users who logged in via this method can now use another login method, such as Microsoft v2 (orange button). The latter works the same as the blue Microsoft login button.Note: It is possible that when logging in via Microsoft v2, a message may appear asking for approval. Indicate here that Blue10 is using a new login method and choose the “Request approval” option. The Microsoft Azure AD/Entra administrator will then automatically receive a message to grant approval.

Invoice Management – General

  • Changing the main contact via Subscription Overview > Change Contact Persons
    Assigning contacts in Blue10 to specific areas of responsibility allows Blue10 to access the contacts entered for specific purposes. Here it is also possible to enter a main contact person, the person ultimately responsible in the organization for the (optimal) use of Blue10. As of now, only a user set as the main contact person in Change Contacts can assign another user as the main contact person.

Contract Management – General

  • Expansion of displayed information when comparing a purchase invoice to a contract
    On the Document Detail page: Purchasing, you can use the Contracts tab to compare the current purchase invoice to a linked contract. When comparing a purchase invoice with a contract using the Invoice Compare functionality within Invoice Management, previously only the vendor name and contract name were highlighted. From now on, the compare mode also shows the price sections and total value per year of the contract.

Exact Online, AFAS, Unit4 Multivers

  • Showing correct amounts (total, gross and net) for a reverse charge VAT entry
    Previously, Blue10 did not show the correct amounts for a reverse charge VAT entry in the Booking Details on the Document Detail page. From now on, Blue10 will show the correct (booked) amounts so that it is clear that the VAT is transferred with the booking.

General – Invoice Management

  • Visibility of a credit invoice in the validation screen
    From now on, it is more visible in the validation screen that it is a credit purchase invoice. Above the header details of the purchase invoice is, in the case of type ‘Credit’, the message ‘Credit purchase invoice’ visible.
  • Processing electronic credit invoices in UBL format
    Blue10 could already process electronic debit invoices. From now on, it is also possible to process electronic credit invoices in UBL 2.0 and UBL 2.1 format. Based on data from the e-invoice, Blue10 determines which document type it is.

Exact Online, Exact Globe

  • Booking purchase and sales invoices with VAT only amounts (100% VAT)
    From now on, it is possible to book an invoice with only a VAT amount in the header and/or on the coding lines in Blue10. On the coding lines, it is required to fill in the VAT code 100%. In Exact itself, it is possible to create a VAT code with type Exclusive and percentage 100%.
    During the standard VAT check, which Blue10 performs during booking, Blue10 takes this scenario into account.

AccountView, AFAS, Exact Globe, Twinfield, iMUIS, Exact Online, Visma, Business Central, NetSuite & Unit4 Multivers (Online)

  • Manage posting templates from one central overview in Settings
    Posting templates allow you to speed up and automate the encoding and booking of invoices. One central overview of posting templates is now available for users with the Booking role. Via Settings > Booking templates, it’s possible to quickly and easily search, change or create posting templates.

AFAS

  • AFAS Coding on projects in combination with sales invoices
    From now on, it is also possible to code sales invoices on projects. Via Settings > Companies under the heading Coding information, set the setting Code on project to Yes. The Projects field will be visible in the sales invoice’s coding lines in the Booking Details on the Document Detail page: Sales. To activate this new functionality, GetConnector version 5.01 is required. Via Settings > Companies per company under the Integration heading, GetConnector version 5.01 can be downloaded. This heading also shows which GetConnector version is currently installed.

Blue10 App

  • Check and approve documents quickly and easily with the Blue10 App
    The Blue10 App has been expanded. Besides importing documents, it is now also possible to check and approve documents. In the Blue10 App, the To-do button has been added. After clicking To-do, the list of documents lying with you as a user to process opens. Click open a document to check it, ask questions, make comments and/or add attachments. Download or update the latest version of the (free) Blue10 App via the Apple App Store or the Android Play Store.
  • Blue10 App further expanded: Quick search for documents in the archive
    The Blue10 App has been expanded. After checking and approving documents, the documents are available in the archive. From now on, it is possible to easily search for documents in the archive via the Search button. Click Search to use various search filters to quickly and easily look up a document and view it for more details.

General- Invoice Management

  • Notifications when using Absence Assistant functionality
    After activation of an Absence Assistant by the (absent) user, the set user will receive several notification emails during the set period. These are the following three notification emails:

    • Notification ‘Absence assistant activated’: After a user is set as Absence Assistant, both the absent user and the set, replacement user will receive a notification e-mail about it.
    • Notification after expired end date / de-activation of functionality: When the set end date has passed or the functionality is disabled, both the absent users and the set, replacement user will receive a notification e-mail about it.
    • Notification that documents are ready for processing: For the set, replacement user, the notification e-mail has been extended to include the number of documents to be handled by the absent user.

AFAS

  • Synchronisation of booked current account line(s)
    Blue10 now transfers the booked current account lines from AFAS. On the booked invoice lines, the target accounting and associated general ledger accounts are visible under the Booking details on the Document Detail page: Purchase.

Invoice Management 

  • The Document Overview: Purchase / Sales / Packing Slip export to Excel
    The Document Overview: Purchase / Sales / Packing Slip shows documents in Blue10 based on the filters and user permissions. From now on, you can export any Document Overview (Purchase / Sales / Packing Slip) to Excel. Please note that the columns ‘At user‘ and ‘Approved by‘ are not exported to the Excel file. Downloading the Document Overview can be useful for creating reports or sharing data with individuals who are not users of Blue10. Open the Document Overview: Purchase / Sales / Packing Slip and click on Export next to the Column Settings. The Excel file will be available in your downloads.
  • Undoing changes in Settings
    For users with administrator rights, it’s possible to make changes to the settings of the Blue10 environment via Settings. From now on, on every page in Settings it’s possible to cancel the changes made at once and thus not save them. This can be done using the Undo changes button that appears at the top right of the screen (next to closing the page).

Invoice Management – General 

    • When one of the recognised IBAN’s belongs to your company, that number will be ignored. If only one IBAN remains after this check, it will be suggested in the validation screen.
    • If multiple IBAN’s still remain, no specific IBAN will be suggested. Instead, we will display a drop-down menu with the various recognised IBANs for you to choose the correct IBAN. Additionally, it is always possible to enter an IBAN manually.Blue10 recognises multiple IBANs on an invoice
      With the IBAN check, Blue10 verifies if the recognised IBAN on the invoice matches the IBAN set up for the supplier in the accounting system. Want to know more? Read further here. The IBAN check has been optimised, and from now on, Blue10 also recognises multiple IBAN’s on an invoice.
  • Change in font size of Blue10
    Several font sizes of the font were used in Blue10. Adjustments have been made to the font size on several pages to make it more consistent.
  • Use of keyboard for navigating in Blue10 extended
    In Blue10, it was already possible to use the Tab key to navigate between fields. Tick boxes and Yes/No option fields were skipped while navigating with the Tab key. From now on, it is also possible to select these fields with the Tab key.

Invoice Management – Enterprise

  • Automatic Coding and Posting of Electronic Invoices (e-invoice template)
    With an e-invoice template, a purchase invoice is automatically posted in the ERP/Accounting system. For each supplier, a one-time link must be created between relevant booking data from the electronic purchase invoice and the financial master data synchronized from the accounting system. New product lines in a subsequent purchase invoice need to be linked once and will be automatically coded and posted in the administration from then on. Want to know more? Read further here.

AFAS, Blue10 API, Axapta, Business Central, F&O, Exact Globe, and Navision.

    • Blue10 displays the Reporting Date in the header data after booking an invoice
      On the Document Detail page: Purchases in the header data, Blue10 displays the Reporting Date. This provides a more comprehensive view of the recorded booking. The reporting date is available for the accounting systems AFAS, Blue10 API, Axapta, Business Central, F&O, Exact Globe and Navision.

Invoice Management – General

  • Blue10 can process auction invoices (Florecom CII-file) from FloraHolland
    Previously, Blue10 could not process the auction invoice from FloraHolland because it did not support CII files. Now, it is possible to import and process the FloraHolland invoice in PDF and XML format in Blue10. Blue10 extracts the header information from the CII file. Do you also want a coding proposal or even automatic posting of the invoice? This is possible with the e-invoice templates. Business Central combined with extension version 7

    • Coding in Blue10 available in conjunction with Business Central extension version 7.
      In addition to capturing header data in the validation screen, you can now also code posting lines from Blue10 with Business Central. After saving in the validation screen, the purchase invoice is created in Business Central. Subsequently, the coded posting lines are booked by Blue10 in Business Central, resulting in a posted purchase invoice. Want to learn more? Read on here.

  • Blue10 can now process electronic sales invoices
    An electronic invoice (e-invoice) includes a PDF (the invoice) and an XML file. Blue10 was already capable of processing electronic purchase invoices. Now, it can also process electronic sales invoices. Based on the email address used for receiving invoices, Blue10 determines the document type. Want to know more? Read further here.

Business Central combined with extension version 7

    • Coding capabilities expanded in Blue10 extension version 7.1 for Business Central.
      In extension version 7.1, the coding capabilities have been expanded. With this extension version, it is possible to code on Projects, Project Tasks, Line Type, Unit Price Project, Asset Costs, Reporting Date, Posting Type, and to include a Discount Percentage.       Curious about which extension version you’re currently using? Via Settings > Companies, you can access the relevant administration. Under the Integration section, Blue10 displays the Business Central version, Extension version, and Feature Set version. Invoice Management – General

  • Company setting for date format
    If you frequently receive invoices with international date notations, it is now possible to change the default date format per company. Navigate to Setting > Companies and under the additional settings de setting Default date format for vendors is available. You can specify whether the notation is DD/MM/YYYY or MM/DD/YYYY. This setting determines how the recognized date on the invoice will be interpreted. If this company also deals with sales invoices, the setting Default date format for customers, is also available.
  • Supplier setting for date format
    In addition to changing the date format per company, it’s also possible to deviate from the standard date format per supplier. The setting Date Format has been added via Settings > Suppliers. Here, you can determine whether the supplier follows the standard date format or uses a fixed deviating date format.

Netsuite  

  • Release payment hold in Blue10 for automatically collected invoices
    By default, Blue10 validates and holds invoices in NetSuite. Once an invoice is approved for payment in Blue10, the payment hold in NetSuite is released, allowing the invoice to become payable. With the EFT Bill Payment setting, it’s possible to book invoices that are automatically collected without a payment hold; these invoices no longer require approval. Navigate to Settings > Companies > Open the administration relevant to the setting in Blue10. In the Additional Settings, you’ll find the option ‘Use EFT Bill Payment‘; set it to ‘Yes’ if you wish to utilize the EFT bill payment method. Want to learn more? Read here further. 

AFAS 

  • Coding on current account in combination with AFAS
    Via Settings > Companies, under the heading Coding information, it is possible to use the new setting Code on Branch. By setting it to Yes, Blue10 shows Code on Branch in the encoding lines in the validation screen and in the Booking details on the Document detail page: Purchase.Want to know more about Code on Branch?     To activate this new functionality, GetConnector version 5 is required. Via Settings > Companies per company under the heading Integration, GetConnector version 5 can be downloaded. This heading also shows which GetConnector version is currently installed. Want to know more about updating GetConnector? Read more here.

  • Redesigned icons on the Dashboard
    On the Dashboard, the icons of the invoice processing steps have been refreshed.
  • Confirmation pop-up when changing the Company field in the Auto- and Suggested routes
    When a route is set up and an attempt is made to change the Company field, Blue10 asks for confirmation. This is to prevent unintended loss of information.

General – Invoice Management

  • Change in Enterprise functionality: Reporting Access
    Starting from April 1, 2024, we will be replacing a column in the Blue10 database. The replacement column is already available and serves as the primary column in the database. If you utilize the database access capabilities, it is necessary to start using the replacement column to ensure the continued functionality of your reports. Action is required for customers using the reporting access in the Enterprise subscription. Want to know more? Read further here.

Blue10 App 

  • Blue10 App the setting ‘Mobile uploads with one photo to the Splitter’ is no longer available
    With the setting ‘Mobile uploads with one photo to the Splitter‘ set to Yes (activatable via Settings> Settings), it was possible to always process an import from the Blue10 App through the Document Splitter. With the updated Blue10 App, this setting is no longer applicable, as it is now possible to select the correct administration and document type in the updated Blue10 App. All documents coming in via the Blue10 App are immediately available in the validation screen.   • Font adjustment in Blue10 for users of the Firefox browser
    For users utilizing Firefox as their browser, Blue10 was not easily readable after font adjustments. This has been rectified, ensuring Blue10 is now also legible in the Firefox browser.

Visma.net

  • Coding purchase invoices on projects and project tasks
    From now on, it is possible to code a purchase invoice to an active project and/or active project task. Under Settings > Companies, you can now use the new setting Code on projects under the Code Information section. By setting it to Yes, Blue10 will display the Project and Project Task fields in the coding lines on the validation screen and in the Booking Details on the Document Details page: Purchase. When the Project field is filled, it is also mandatory to fill in the Project Task field.
    Note: If a project obligation is set on the general ledger account in Visma.net, it is mandatory to code on a project.
  • Coding purchase invoices on dimensions 4 and 5
    With dimensions in Blue10, it is possible to further specify costs during validation based on details set in Visma.net. Under Settings > Companies, you can now use the newly added dimensions 4 and 5 under the Code Information section. By setting it to Yes, Blue10 will display the dimension(s) in the coding lines on the validation screen and in the Booking bon the Document Details page: Purchase.

Invoice Management – General 

  • Change in login method for users logging in via Azure AD on the login page
    The authentication method Azure AD has been updated, and this comes with a new button on the login page. As of today, the old Azure AD button on the login page will be removed, and you can use one of the other authentication methods:

    • Do you want to continue logging in with your Microsoft account? Use the Microsoft v2 button to log in to Blue10.
    • Do you want to log in with your email address and password? Click once on Forgot Password? to create a password and log in with this authentication method from now on.
  • Change in the font of Blue10
    Blue10 has changed its font. The new font is chosen to present data more clearly and make more data available on a page.
  • Blue10 available in dark mode
    From now on, it is possible to set Blue10 to dark mode, making all pages dark. Each user can set this individually. Click on your Username in the top right corner > My Settings > Preferences > Check the Use dark mode setting. Want to learn more? Read further here.

Contract Management 

  • The number of linked contracts is visible on the Contracts tab
    On the Document Detail page: Purchase contains details about the processing of the purchase invoice. In addition, an image of the purchase invoice is also visible. Above the image, depending on the settings, there are tabs including the Contracts tab. From now on, the number of contracts is also displayed on the Contracts tab.

Netsuite

  • Recording Purchase Invoice on Project(s)
    From now on, it is possible to book a purchase invoice on a project in Blue10 because Blue10 retrieves projects from Netsuite. For each company, it is possible to enable or disable coding fields via Settings > Companies under the section Code Information. Here, you can activate the setting “Code on Projects.” On the coding lines in Blue10, the Project field becomes visible, allowing you to select a project.
  • Using purchase order lines with a Expense line
    If a purchase invoice is linked to a purchase order, it is possible to select the purchase expense lines in the validation screen via the Purchase Order dialog. From now on, Blue10 also synchronises purchase order lines with a cost rule (such as transport costs).

General – Invoice Management

    • The user role Workflow administrator is visible again in Blue10
      In Blue10, you manage user roles via Settings > Users. For each user, it is visible which rights and roles the user has under the headings Companies and Roles. From the past, there are two different roles with administrator rights:
      1.      Administrator: may do everything under the Settings button in Blue10
      2.     Workflow administrator: allowed everything under Settings except managing Companies and Users
      In the revamped interface, Blue10 showed only the Administrator role under the Roles heading. From now on, Blue10 will again show the role Workflow Administrator.
